What we collect
When you submit our enquiry form or email us, we collect the details you give us: your name, email address, phone number (if provided), company or organisation, site location, and the information you share about your system and what you need. We may also collect basic technical data, such as your IP address and browser type, through our website provider.

How we use it
We use your details to reply to your enquiry, discuss and carry out work with you, send quotes and invoices, and keep records of our dealings. We do not sell your data and we do not send marketing emails unless you ask us to.

Our legal basis
We rely on our legitimate interests in responding to enquiries and running our business, and on taking steps at your request before entering into a contract. Where we hold records for tax or accounting, we also rely on our legal obligations.

Who we share it with
We use trusted providers to run our business: Squarespace (website and form storage) and Microsoft (email). We may also share information with accountants, advisers or subcontractors where needed for a job, and with authorities where the law requires. Some of these providers process data outside the UK, and we only use providers that apply appropriate safeguards.

How long we keep it

• Enquiries that do not lead to work: up to 5 years after the last contact. Industrial and building projects can be delayed for years before they go ahead, and keeping your details lets us pick up the conversation where we left off.

• Clients and completed work: up to 8 years after the work ends. This covers tax and accounting requirements (which need at least six years) and allows for any later queries or legal claims about the work.After that we delete or anonymise the data.

Our website uses cookies provided by Squarespace to make the site work and to understand how it is used. You can control cookies through your browser settings or the cookie banner on this site.

Your rights
You can ask us to access, correct or delete your personal data, to restrict or object to how we use it, or to receive a copy of it. Email info@kalosflow.com and we will respond within one month. If you are unhappy with how we handle your data, you can complain to the Information Commissioner's Office at ico.org.uk.

We may update this policy from time to time. The latest version will always be on this page.
